This guide explains how hosts keep the session organised from start to finish using the lobby, broadcasts, tile focus, and recording controls.
What you'll see
Hosts may use:
- Lobby
- Admit
- Decline
- Admit Next
- Admit Top 3
- broadcast message controls
- tile focus by clicking a participant tile
- recording controls such as Start recording and Stop recording
- End meeting
You may also see:
- a lobby waiting count
- a broadcast banner at the top of the session
- a recording timer
Steps
- If the session uses a lobby, watch the Lobby button for waiting participants.
- Open the lobby panel and use Admit, Decline, Admit Next, or Admit Top 3 based on how you want people to enter.
- Use a broadcast message when everyone needs the same instruction immediately.
- Remove the broadcast when it is no longer useful.
- Click a participant tile when you want to keep the session focused on that person.
- Use recording controls when the session needs to be saved.
- End the meeting for everyone only when the session is truly finished.
What this means in practice
These controls shape the flow of the session. The lobby controls who enters. Broadcasts make one instruction visible to everyone. Tile focus helps direct attention. Recording lets you preserve the session when needed.
Using these tools together creates a much smoother experience than relying on chat messages alone.
Limitations to know
- Recording should only start when the session is ready.
- Recording can be blocked when the app does not have enough free storage.
- Focus helps everyone follow the right speaker, but it does not replace host guidance.
- Lobby actions are only relevant when the session is using the lobby.
Common mistakes
- Leaving participants waiting too long because the lobby panel is not being checked.
- Sending a broadcast and forgetting to remove it later.
- Starting recording too early before the session has settled.
- Forgetting that a focused participant should still be guided verbally through the session.
If something isn't working
- If people say they are waiting outside the session, open Lobby and review the queue.
- If everyone needs the same instruction, use a broadcast instead of repeating it in chat.
- If recording cannot start, read the message shown in the control panel, free up space if needed, and try again.
- If the room becomes visually busy, click the participant tile that should have attention so the session becomes easier to follow.
