The Checklist: Everything You Need One Week Before Your Event
Final checklist to help you avoid stress one week before your Nigerian event.
Planning an event in Nigeria whether it’s a wedding, concert, corporate seminar, or owambe is no small task. With just one week to go, things can get overwhelming fast. But don’t worry this checklist will keep you on track and help you avoid last-minute wahala.
Here’s what you need to have in place one week before your event:
1. Confirm Your Venue (Again!)
Nigerian venues are known for double bookings or last-minute surprises. Even if you booked months ago, call the venue to:
Confirm your date and time
Reconfirm access to power, chairs, tables, fans/AC, and restrooms
Check if you need extra security or cleaners
2. Reconfirm All Vendors
Make sure all your vendors are still on board. Call or message them directly:
Caterers (confirm menu and headcount)
Decorators (check their timeline)
Ushers/Security (brief them on duties)
MC, DJ or live band (confirm arrival time and playlist)
Photographer/Videographer (clarify coverage time and must-capture moments)
3. Print and Prepare Materials
Whether it's a corporate event or wedding:
Print event programs, banners, guest lists, or handbills
Prepare name tags, seating cards, or table numbers
Double-check that all designs are correct spelling and titles matter!
4. Confirm Guest Attendance
Start following up with invited guests especially VIPs. Nigerians sometimes RSVP late or change their minds. Use:
WhatsApp reminders
Phone calls or text follow-ups
Group chats for coordination
5. Arrange for Power Backup
You can’t trust NEPA. Arrange for:
Generator hire or fuel refill
Electricians to be on standby (if possible)
Backup lights and fans for outdoor events
6. Do a Logistics Walkthrough
Check how your guests, vendors, and equipment will enter the venue:
Parking arrangements
Vendor access gates
Loading/unloading spaces
Crowd control if expecting a big turnout
7. Finalize Budget & Payments
Avoid embarrassment on the D-Day. Settle as many balances as you can:
Pay vendors who require 100% upfront
Have some emergency cash handy for unexpected expenses
Prepare thank-you packages if needed
8. Prepare Your Team
Your event team should be fully briefed:
Share a clear schedule or run-down
Assign roles and tasks
Share contact list of all vendors and key stakeholders
9. Promote One Last Time
Remind people that the event is near! Use:
Social media countdown posts
WhatsApp status flyers
Email or SMS alerts for those who registered
10. Pack Your Event Day Bag
Have your personal emergency kit ready. It should include:
Charger or power bank, extra pens, notepad, safety pins, tape, scissors, painkillers or first aid items, snacks or water (for long hours)
Conclusion
The week before your event is not the time to rest, it’s when you lock down the details. By staying organized and proactive, you’ll avoid last-minute stress and deliver a smooth, successful event that your guests will remember.
